Why doesn't the reimbursement amount match the proof of coverage?

Noticed that the amount on an employee's reimbursement request doesn't match the premium on their proof of coverage? Here's why that can happen and what to do.

Why the amounts can differ

  • The reimbursement is capped at the allowance. StretchDollar reimburses the lower of the premium or the employee's monthly allowance. If the premium is higher than the allowance, the employee receives the allowance amount.
  • The employee enters the premium amount themselves. When they submit a request, they type in their monthly premium and upload proof. A typo, an old price, or a premium from a different month can make the two amounts differ.
  • The proof may show a different period or amount. For example, a first-month invoice that includes fees, several months together, or a plan price that changed at renewal.

What to do

  1. Compare the premium on the request with the monthly premium on the proof of coverage.
  2. If they match closely enough (or the difference is explained, such as a new plan year), approve the request.
  3. If the request looks wrong, reject it with a note asking the employee to resubmit with the correct monthly premium. You can't edit the amount yourself.
  4. Be aware of your own out-of-pocket costs! This is the difference between your total month cost and the maximum monthly employer contribution.

Approve before the 25th to include it in this month's payment run. See Reimbursement Approval Timing: The 25th Cutoff.
