Why did my employee get two reimbursement payments?
If an employee received two reimbursement payments close together, it's usually not a duplicate. In most cases, each payment covers a different month. Here are the common reasons and how to check.
1. Their first month was paid when you approved, then the monthly payment ran
When you approve an employee's auto-reimbursement, their first month is paid right away. After that, we collect next month's reimbursement on the 25th, and it arrives around the 1st.
If you approved close to the 25th, or after it, the employee can get two payments within a few days: one for their first month and one for the next month. See What happens when I approve an auto-reimbursement? Timing for admins.
2. You also approved a one-time reimbursement for an earlier month
Employees often submit a one-time reimbursement for a month before their auto-reimbursement started, such as their first (binder) payment. If you approved that request and their auto-reimbursement, they get two payments for two different months.
3. A one-time request for a month that was already paid
We never send an auto-reimbursement for a month that's already been reimbursed. A one-time request for an already-paid month can still be approved, but it's capped:
- When you approve, the confirmation shows how much the employee has already been reimbursed for that month.
- Only the rest of their monthly allowance is sent.
- If their allowance for that month is already used up, the Approve button is disabled.
An employee can't receive more than their monthly allowance for the same month.
How to check
- Go to Reimbursements in your Employer Portal.
- Find the employee and look at each payment's type (one-time or auto) and the month it covers.
If the payments are for different months, nothing went wrong.
If the employee was paid for a month they shouldn't have been
For example, the one-time request covered a month their plan wasn't active. You have a few options:
- Let the employee keep it if it fits your plan's allowance.
- Ask the employee to pay it back to you directly. StretchDollar can't pull funds back from an employee's bank account.
- Skip a future month. Contact us and we can pause one of the employee's upcoming auto-reimbursements to even things out.
To skip a month, or if you're not sure what a payment was for, chat with us live during business hours (fastest option) or email support@stretchdollar.com. Include the employee's name and the payment dates.
Please note: Before approving a one-time request, check which month it covers. This avoids paying a month you didn't intend to. See How do I approve or reject a one-time reimbursement claim?
