How do I approve or reject a one-time reimbursement claim?
Nice — an employee just submitted a one-time reimbursement claim! You’ll get an email alert and see it waiting for you in your Employer Portal.
To review a claim
- Log in to the Employer Portal.
- Go to Reimbursements in the sidebar.
- Select the pending claim to open it up.
- Take a look at the amount requested and the proof of coverage the employee uploaded (invoice, billing statement, or payment confirmation).
- Click Approve to send it off for payout, or Reject and pick a reason from the dropdown (for example, missing documentation or non-eligible expenses) so they know exactly what to fix. Choosing “Other” lets you add your own note.
What happens next
Approving pops up a quick confirmation letting you know this will kick off a debit from your account on file — click Approve again and you're all set. It'll be queued up for the next disbursement cycle. If you reject instead, just click Confirm Rejection to finish (heads up, this cancels the request for good). Either way, the employee gets notified right away, and if it's a reject, they can fix things up and resubmit from their Benefits Portal.
