What happens to a pending reimbursement when an employee is terminated?
Terminating an employee does not automatically cancel a reimbursement that was already approved but hasn't been paid out yet.
What does terminating an employee do?
-
Auto-Reimbursements is canceled automatically when you terminate someone.
-
An individual reimbursement that's already approved and sitting in "Pending" is not canceled, but it also won't process — the system blocks payment processing for terminated employees.
- A reimbursement that already shows "Processed" before termination has already been paid out. We can't reverse this action.
What to do:
-
Before terminating an employee, check whether they have a reimbursement sitting in "Pending" status. If so, contact support@stretchdollar.com so we can resolve it manually — otherwise it sits unpaid indefinitely with no automatic notification to anyone.
- If you're an employee who was terminated with a reimbursement still pending, reach out to support@stretchdollar.com with your termination date and the reimbursement in question.
Note: terminated employees have a 30-day window to submit new one-time reimbursement requests for prior coverage gaps — but that's separate from a reimbursement that was already pending before termination.
